How digital incident reporting protects your premises licence

19 October 2026 · A.P.D Security Solutions

If you run a licensed venue, your premises licence is one of the most valuable things your business has. When something goes wrong on a busy night, the quality of your records can make the difference between a straightforward conversation with the police or licensing authority and a review that puts your licence at risk.

For years, most door teams relied on paper incident books, handwritten refusal logs and a quick verbal handover at the end of the night. Digital incident reporting changes that, and it is now how every A.P.D Security Solutions officer reports.

Why records matter for licensed venues

Most premises licences include conditions linked to the licensing objectives: preventing crime and disorder, public safety, preventing public nuisance and protecting children from harm. Many conditions require an incident log, a refusals register or door supervisors at certain times. When the police or the licensing authority review an incident, they will want to see what happened, when, who dealt with it and what was done.

Paper records can be lost, illegible, completed hours later from memory or missing key details. That leaves a venue exposed, even when its staff did everything right.

What good digital incident reporting looks like

We use SecurityManager.cloud, an independent security management platform, so our officers can record incidents on their phones as they happen. Each report captures:

  • The date and time, recorded automatically
  • The officer involved and their verified SIA licence
  • The location, checked by GPS
  • The type of incident, such as medical, welfare, ejection or refusal
  • What happened and what action was taken, including first aid, police or ambulance involvement
  • References to photos or body-worn video where relevant

The completed report is stored digitally and can be provided to the venue manager as a PDF on request, rather than relying on a handover.

Refusals and counts, not just incidents

A strong record is not only about the serious incidents. Logging refusals and the reasons for them, such as no ID, intoxication or dress code, shows that your door team is applying your policies consistently. Accurate guest counts help you demonstrate that you are staying within your licensed capacity.

Proof of attendance and patrols

Digital reporting also shows that the security you are paying for was actually in place. Officers clock in on site with GPS verification, and internal patrols are logged by scanning QR checkpoints. If a question is ever raised about whether staff were where they should have been, you have a timestamped answer.

Weekly summaries for management and reviews

Each week our clients receive a summary of shifts covered, officer hours, incidents by type, refusals and patrols completed. It is useful for management meetings and licensing reviews, and it gives you a clear picture of trends on your door over time.

What to ask your security provider

  • How are incidents recorded, and how quickly will I receive them?
  • Can you prove when officers arrived and left?
  • Are SIA licences checked, and how often?
  • Will I get regular summaries I can share with my team or the licensing authority?
